Clinic software vs Excel: when a spreadsheet stops working
Plenty of clinics start with an Excel sheet or a paper register, and that is a fair way to begin. The question is when it stops being enough.
Where Excel works fine
- One doctor and a modest number of patients a day
- One person updates the sheet
- You only need a list of names and visit dates
Where a spreadsheet starts to fail
- Two people editing the same file overwrite each other's work
- There are no reminders, so patients forget their visits
- Double bookings happen when the sheet is not updated live
- A patient's history is slow to find
- Billing and prescriptions sit apart from the visit record
- A deleted row or a lost laptop can lose everything, and everyone who opens the file can see everything
What clinic software adds
- Online booking with slots for each doctor
- A token queue for walk-in patients
- Automatic WhatsApp and SMS reminders
- Prescriptions and bills linked to the patient's record
- Separate logins for doctors, reception and the owner
- Daily reports without manual counting
A simple test
Ask yourself three questions. Do we double-book or lose patient records? Do patients miss visits because nobody reminded them? Does staff time go into fixing the sheet instead of helping patients? If the answer to any is yes, it is time to move.
Moving over without pain
- Import your patient list into the new system.
- Start with appointments only, and add billing and prescriptions later.
- Run the old sheet and the new software side by side for a week or two.
- Retire the sheet once your staff are comfortable.
