How to choose clinic management software in India: a checklist
Clinic software ranges from simple booking apps to full hospital systems. A small clinic does not need the biggest one. It needs the one its staff will actually use.
Start with how your clinic works
Write down how a patient moves through your clinic today: how they book, who they see, how they pay and how they are followed up. Good software fits that flow. Poor software makes you change it.
The checklist
- Does it handle each doctor's timings and booking slots?
- Can patients book from a phone without installing anything?
- Does it send reminders on WhatsApp or SMS, and what do those messages cost?
- Does it include a token queue for walk-in patients?
- Can doctors write prescriptions on screen?
- Does it handle billing, and are the reports easy to read?
- Who owns the patient data, and can you export it?
- When something breaks, who do you call and how fast do they reply?
- What does it cost over three years, including yearly fees and message charges?
Understand the pricing
Some products charge a monthly fee per doctor. Others charge a one-time setup fee plus a yearly maintenance plan. Compare the total over three years, not just the first month, and ask what is included in the yearly plan.
Ask for a demo with your own scenario
Do not watch a generic demo. Ask the vendor to book a patient with two doctors, issue a token, send a reminder and print a bill, using your clinic's real timings. Let your receptionist try it too, because they will use it the most.
Red flags
- Features you will never use, but still pay for
- No way to export your data if you leave
- No local support
- A long contract with no trial or demo
